REDCap Cloud also known as RCC, is a state-funded organization dedicated to improving
clinical research and drug trial management through its unified data science platform. It connects hospitals, research institutions, and biopharma companies to securely collect, integrate, and analyze real-world health data.

RCC aims to simplify the complexities of research, enabling researchers to manage their studies easily fostering collaboration across a global network of over 5,900 institutional partners. By improving the management of scientific data and workflows, RCC helps accelerate accurate and faster medical discoveries.

Challenges

We identified key improvement areas which shaped how we approached creating and intuitive and effective user experience

  • Diverse User Personas: The platform serves various personas - Sponsors, Admins and Clinicians, each with distinct needs and technical expertise. Balancing the design for both tech savy users and those less familiar with digital tools was necessary.

  • Complex Interface: The platform's extensive capabilities created challenges for users navigating its intricate research workflows, highlighting the need for a more streamlined interface to enhance efficiency.

  • Cognitive Overload: Presenting extensive data can overwhelm users. Striking a balance between providing essential information and maintaining a clean, uncluttered interface was essential.

Purpose & Direction

Our goal was to create a scalable user experience that enhances both visual appeal and usability while maintaining robust functionality. We aimed to ensure the interface catered to the needs of all user levels - Level 1, Level 2, and Level 3.

Simplifying navigation for key user roles, including research sponsors, study managers, and on-ground staff.

Streamlining data entry and retrieval processes

Enhancing the visual hierarchy of the platform & incorporating data visualization to ensure clarity across large datasets.

Dashboard: Key Metrics at a glance

The dashboard was reimagined to improve the user experience for monitoring enrollment and consent status within a research study. The new interface features intuitive navigation and clear data visualization, making it easy to access information by month or site. This enhancement makes insights more accessible and enables the timely actions based on the current status of the subjects.

Creating Forms Made Easy

The form builder is a key feature of this data science platform, aimed at facilitating the creation and management of data collection instruments. We designed an intuitive layout that prioritizes user workflows, introducing drag-and-drop functionality for easy and quick form creation. Additionally, we added a properties panel that allows users to manage each field's settings effortlessly, resulting in a cleaner and more organized workspace.

The redesigned layout boosts efficiency, reduces data collection errors and allows on-ground staff to focus on data collection rather than dealing with complicated interfaces.

Streamlined Permissions for Effortless Control

The previous permissions setup was user-based, meaning that permissions were defined for each user individually, which made managing permissions cumbersome and difficult to scale. To enhance usability and streamline access management, we introduced a role-based access control (RBAC) system. By transitioning to RBAC, we created a more scalable and manageable permissions framework that ensures users have the appropriate access based on their roles within the study or site.

Stay Synced with Calendar

Calendar enables staff to create and view events at a glance. With options to switch between day, week, and month views, it enhances visibility and facilitates efficient schedule management.

When paired with the scheduler, it allows for effective oversight of booked slots and appointments, streamlining workflows and boosting productivity.

Navigating between studies and sites is effortless. Each study features a custom image, along with the study name, current status, and a concise description for quick recognition.

When switching to a different site, the facilitator's name appears next to the facility name, making key personnel and locations easy to identify.
