The Challenge: A Disconnected Ecosystem
The fragmented state of financial and administrative operations across the education sector presented a significant bottleneck. Schools, after-school academies, and parents were operating on disparate systems - often relying on manual, error-prone spreadsheets, cash payments, and complex email chains. This resulted in data silos, high administrative overhead for staff, and significant friction for managing multiple children and activities.
Target Audience Segmentation
To ensure the platform was fit-for-purpose, we defined three highly specific administrative user segments, each with unique goals, permissions, and operational needs.

The Solution: The Payzy Platform
Payzy was conceived as a comprehensive digital ecosystem, establishing a single source of truth for payments, enrollment, and communication. The project delivered three enterprise web portals (Master, School, Merchant Admin) and a consumer mobile app for parents. Our design focused on developing a unified information architecture and a scalable design system that streamlines complex processes like Fee Management, Easy Payment Plans (EPP), and Cross-Portal Reporting.


Campaign Management
The Campaign Management module enables the admins to design, configure, and distribute targeted promotional campaigns across multiple channels, including SMS, email, push notifications, and in-app banners.
It provides end-to-end control over campaign setup, also supporting flexible publishing controls. By centralizing campaign creation, eligibility logic, and distribution management in a single workflow, the system ensures accurate targeting, controlled execution, and measurable promotional impact.



Role-Specific Dashboards for Centralized Control
To address the complexity of governing three distinct administrative user types, we moved away from generic interfaces. The solution involved creating three unique, role-specific dashboards. The Master Admin dashboard prioritizes governance and financial oversight, while the School Admin focuses on operational efficiency, and the Merchant Admin targets sales and campaign performance. This design ensures each user receives immediate, customized, and data-driven insights relevant to their daily tasks.



Streamlining Administrative Workflows
A core design objective was to streamline the heavy administrative workflows required to manage the platform's key entities: Schools, Merchants, and Students. We created distinct, role-based modules for each

Streamlining Financial Workflows
We solved payment fragmentation through two specialized financial modules.
• The Fee Management module simplifies the complex task of creating variable fee structures and defining payment schedules, drastically reducing manual effort and reconciliation errors.
• Easy Payment Plans (EPP) module gives the Master Admin centralized control over standardizing installment and payment schemes.



Data-Driven Insight and Control
We achieved high data quality and insight through three key components:

The Product Catalog module defines all billable items for accurate fee assignment and tracking.

The Reports module transforms operational data into actionable insights using integrated Advanced Filters.

Finally, Audit logs secure the B2B SaaS environment by providing an immutable record of all system actions, enhancing compliance and trust



Maker Checker flow
The Maker–Checker flow is an approval workflow that ensures accuracy and control across the platform.

A Maker creates or updates records and submits them for review.

A Checker verifies the changes and can either approve and publish them or return them with remarks for revision.
This process improves data accuracy, maintains compliance, creates a clear audit trail, and ensures only verified information goes live—helping the platform run smoothly and reliably.

The Payzy platform resolved administrative fragmentation by delivering a unified digital ecosystem.
Role-specific tools establish a single source of truth for all financial data. This strategic design is projected to yield significant efficiency gains, including reduced administrative overhead and increased secure online payment volume.
